How to use LocalWise

LocalWise brings your enquiries together so you can find the right person and record what happened. Your paper diary or existing calendar can stay part of your routine.

The habit that matters

After speaking to someone, record the outcome. A quote visit, a booked job, a win or a reason it did not go ahead helps you and the agency understand what is working.

If you do not know the job value yet, leave it blank. You can add it later.

Values are saved including VAT. If you quoted 750 plus VAT, type 750 and choose Plus VAT, and £900 is saved. If you are not VAT registered, leave it on Includes VAT.

    Start with your leads

Leads opens your Today list on desktop and a stack of enquiry cards on mobile. Use List view or Cards view to switch whenever you like. Your choice stays selected as you change filters and dates.

In Cards view, tap a card to record what happened. Swipe to browse, or use Previous and Next. Browsing does not save an outcome or delete the lead.

In Cards view, open Filters to search for a name or enquiry, change the source or choose when the lead arrived. Your default view usually shows Paid Ads. You can also choose Messenger & DMs, Other enquiries or All leads. Your source and date choices carry across Leads, Progress and Results.

In List view, Today shows your work list. Use Booked, Callbacks due, Replies to review or Add job value, then select a lead to see their details and any conversation. Due callbacks remain visible when you change the date range, within your chosen source. Select Cards view to return to the cards.

Example Leads screen. Tap the orange-outlined enquiry card to record an outcome; use Previous and Next to browse. Record what happened

Tap a card and choose In progress, Won or Not going ahead. For a lead in progress, choose where it is up to: for example, Spoke to them, Quote visit booked, a sent quote or a booked job. A quote visit and a confirmed job are different outcomes.

A current booking appears prominently beneath the lead’s name, with its type shown as Quote visit booked, Job booked or Appointment booked. Use the Booked filter in List view to find those enquiries within your selected source and dates.

Add an optional note. For a lead in progress, you can also set a Next follow-up date for your callback. Then choose Save outcome. Recording a booking does not create a calendar appointment, so keep using your usual diary or calendar.

You can save a win with no value. Leave it blank until you know the amount, then use Add job value in List view. For a lead that is not going ahead, choose the reason that best fits.

In List view, shortcut buttons such as Quote sent and Job booked open the same form with that choice selected. After saving a card, it clears from your current stack. Ongoing jobs can still be followed in Progress.

Example outcome form for Emma Taylor. In progress is selected, with Quote visit booked, an optional value left blank and a next follow-up date. Follow the job through Progress

Progress shows the jobs in your pipeline. Use the list or board to move a job to its next stage, and record whether it was won or lost.

If one customer has multiple jobs, open the specific job here before changing it. Results currently count each customer once, so repeated jobs are not separate conversion opportunities.

    Contact people and manage follow-up

Call opens your dialler. Opening it does not prove the call connected. Record Spoke to them after you actually have.

Messages holds your conversations. Write a reply and select Send. If the channel’s reply window has closed, ask the customer to reply again or contact them by phone or text.

Automated follow-up is available after the agency has set up and tested your sequence. If you see Follow-up not set up, contact the agency. Follow-up enrolled means the request was accepted; it does not confirm that a message was delivered. Use Pause to request a stop.

Replies, bookings, final outcomes and opt-outs also trigger stop requests. These can take time to reach the messaging system; the agency tests the sequence’s own stop rules as part of setup. If the status needs review or stays on stopping, contact the agency.

    Understand your Results

Results shows recorded quote visits, job bookings, wins and job values for the leads received in your selected period. Outcome coverage tells you how much of the picture is known.

Missing outcomes are unknown. They are not counted as proof that no work was booked. Recorded booking rates can change as you fill in the gaps.

Advertising totals are shown separately because campaign reports and CRM leads may cover different activity. AI advice, where enabled, offers a suggested next step for you to review. It does not send messages or change outcomes.

Example Results with sample numbers: zero recorded quote visits or job bookings, 43 percent outcome coverage, and one job won. Need to correct something?

Use Undo after saving a card, or Undo last change in List view. For more detail, select the lead in List view and choose Open full lead history to review changes, retry a pending sync or undo the latest change. Undo does not restart paused follow-up messages.

If the page says your outcome is saved but its sync needs attention, your update is already in LocalWise. Contact the agency if it stays pending. If a save fails, your form stays open so you can retry.

Cannot find an enquiry?

Clear your search, widen the date range and try All leads in Filters. Check Progress for jobs you have already updated. An empty card stack only describes your current view; it does not mean your lead history has been deleted.
